Terms and Conditions


1. General Conditions
-Each booth will have a specific area according to the price list.
-Each booth will be 2m high.
-Each booth includes lighting, a table and two chairs.
-All areas marked on the Exhibitors Plan are booth spaces.
-Booths will be selected by the interested parties according to their availability at the moment.
-Exhibition spaces will be assigned through reservation and only after payment is made.
-The participants of the 10th Conference of the Global Network of WHO Collaborating Centres for Nursing and Midwifery and the 4th Conference on Nursing Research of Ibero-American and Portuguese-Speaking Countries will have free access to the exhibition.
-For every 9m2 of exhibition space, 3 exhibitor badges will be given. All exhibitors must wear their badges at all times. Exhibitors renting larger spaces will be offered more badges (Three additional badges for each 9m2).

2. Costs/Payment
-The price for WHO Collaborating Centres, Schools and Colleges of Nursing, and Non-governmental Organizations (NGOs) is 700€ per 9m2 booth (it includes the registration of one participant in the Conference).
-The price includes booth, lighting, one table and two chairs.
-It is possible to expand the exhibition space in modules of 9m2. The cost will be 400€/9m2 module.
- It is possible to send a proposal to negotiate other types of exhibitors’ needs.
- Following the acceptance of the application, the Organization will send an invoice of the total cost of the booth(s).
-The Exhibitor shall pay this amount within 30 days following the date of the invoice issued by the Organization. The deadline for the acceptance of applications is June 1st 2014.
-If the amount is not paid by the deadline, the Organization may transfer the booth space to another institution without liabilities to the Exhibitor.
-Payments must be made by bank transfer or Credit Card in Euros.

Payment
The relevant bank information needed to pay for the booth space will be sent in the email confirming receipt of the application. Alternatively, they may be requested through the following email: tesouraria@esenfc.pt
Note: Bank fees are the Exhibitor’s responsibility.

3. Cancellation
-Rules for requests of cancellation after payment has been done are as follows:
- Request of cancellation by 30/04/2014 – 80% refund of the amount paid;
- Request of cancellation by 31/05/2014 – 50% refund of the amount paid;
- Request of cancellation after 31/05/2014 – no refund.

4. Application
-The applicant must select his/her booth space in the Exhibitors Plan and fill in the online form which will appear after the selection option.
-Applicants renting more than one booth space may require the expansion of the exhibition space in modules of 9m2 (through the email expositores@who2014.com).
-The Organization will contact the applicant after his/her application has been validated and will send him/her an agreement with the exhibition rules, as well as the responsibilities and duties of each party involved.
-Applications will be dealt with in strict order of reception.
- The deadline for the acceptance of applications is June 1st 2014.
-The Organization shall reserve the right to refuse any application that does not comply with the objectives of the Exhibition.
-The Organization will keep in mind the Exhibitors' interests. If there is any question that is not addressed by the present terms and conditions, please send an email to expositores@who2014.com.
-The Organization’s decision must be accepted as final.
-In case the number of exhibitors is higher or lower than expected, the Organization may have to change the Exhibitors Plan and inform those who have registered of these changes.
 
5. Advertising/Design
-The use of advertising/design is only allowed inside the booth space. However, institutions may negotiate with the Organization other types of design.

6. Booth Set up/Removal
-Booths should be set up between July 20th (Sunday) and July 22nd (Tuesday) from 9am to 6pm.
-Booth removal is the Exhibitors’ responsibility. Booths should be removed on July 25th, from 7pm to 11pm and on July 26th from 9am to 1pm. After 1pm, the Organization will remove everything that has not yet been removed, and will not guarantee that the material is returned.

7. Safety
-To enter and move around the exhibition freely, exhibitors will have to wear their badges in a clearly visible manner.
-The Organization provides surveillance services during the exhibition and the setting up/removal of the exhibition booths.
